1 Who we are

Laser Trader Limited is the controller of the personal information described in this notice. We are registered in England and Wales under company number 04112559. Our registered office is Unit 1, Manor Farm, Moorhouse Lane, North Kilvington, Thirsk, England, YO7 4AF.

For privacy questions or to exercise your rights, email sales@lasertrader.co.uk, call 0330 330 1026, or write to the registered office above.

2 Information we collect

We may collect your name, job title, company, billing and delivery addresses, telephone number, email address, account and credit information, order and quotation history, enquiry details, technical application information, correspondence and support records. We also receive website and device information such as IP address, browser type, pages visited, cookie identifiers and security logs.

Payment-card details are handled by our payment provider and are not stored by Laser Trader in full.

3 How we obtain information

We receive information directly from you, from colleagues or authorised contacts at your organisation, through our website and customer portal, and through our dealings with you. We may also obtain business contact and company information from public registers, credit-reference services, manufacturers, suppliers, delivery partners and other legitimate business sources.

4 How and why we use information

We use personal information to respond to enquiries; recommend suitable products or services; prepare quotations; create and administer customer accounts; process payments and orders; arrange delivery; provide technical support, repairs and after-sales service; maintain business and accounting records; prevent fraud and misuse; comply with legal and regulatory duties; improve our website and services; and communicate relevant business information.

Our lawful bases are principally: taking steps at your request and performing contracts; complying with legal obligations; and our legitimate interests in operating, securing and improving our business and serving business customers. Where the law requires consent, for example for certain non-essential cookies or electronic marketing, we rely on consent and you may withdraw it at any time.

5 Marketing

We may send relevant business-to-business communications where permitted by law and where we believe they may be useful to your organisation. You can opt out at any time by using the unsubscribe option in a message or contacting us. Opting out of marketing does not stop service messages about enquiries, quotations, accounts or orders.

6 Who we share information with

We share information only where necessary with trusted service providers and business partners, including Odoo as our website and business-system provider, Stripe and other payment providers, banks, accountants and professional advisers, IT and hosting providers, email and communications providers, delivery carriers such as DHL, manufacturers and suppliers, credit-reference and fraud-prevention services, and public authorities where required by law.

These organisations may act as processors on our instructions or as independent controllers for their own legal responsibilities. We do not sell personal information.

7 International transfers

Some suppliers or service providers may process information outside the United Kingdom. Where this occurs, we use an appropriate legal safeguard, such as an adequacy regulation, approved contractual clauses or another mechanism permitted by UK data-protection law.

8 How long we keep information

We keep information only for as long as reasonably necessary for the purpose collected, including to meet tax, accounting, warranty, product-traceability, legal and dispute-resolution requirements. In general, core customer, order and invoice records are retained for at least six years after the relevant financial year or relationship, while unsuccessful enquiries and routine correspondence are reviewed and deleted sooner when no longer needed. Security logs and cookie data are kept for shorter periods appropriate to their purpose.

9 Security

We use proportionate technical and organisational measures to protect personal information against unauthorised access, loss, alteration or disclosure. No internet service is completely secure, so please avoid sending sensitive information by unsecured email unless necessary.

10 Cookies and website technologies

Our website uses cookies and similar technologies needed for security, sign-in, shopping-cart and site operation. With your choice where required, it may also use analytics or other non-essential cookies to understand website use and improve performance. You can manage non-essential cookies through the website cookie controls and can also adjust your browser settings. Blocking essential cookies may prevent parts of the website from working correctly.

11 Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information; correction of inaccurate information; deletion; restriction of processing; transfer of information you provided; or objection to processing based on legitimate interests or for direct marketing. Where processing relies on consent, you may withdraw consent at any time.

To exercise a right, contact us using the details above. We may need to verify your identity and may retain limited information where required by law or for the establishment, exercise or defence of legal claims.

12 Complaints

Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner's Office. Details are available at ico.org.uk/make-a-complaint.
